Privacy Policy
Introduction
Traxium ("we", "us", or "our") is a fleet management platform operated by Xserv Labs Private Limited, registered in India. This Privacy Policy applies to all users of the Traxium web application available at www.traxium.in and any associated services (collectively, the "Service").
This policy describes how we collect, use, disclose, and safeguard your information when you register and use the Service. It applies to Account Owners, administrators, and any employees or users added to your Traxium organization account.
By using the Service, you consent to the data practices described in this Privacy Policy. If you do not agree, please discontinue use of the Service.
Information We Collect
We collect the following categories of information in the course of providing the Service:
- Full name
- Email address
- Phone number
- Company name & type
- Login credentials (hashed)
- Vehicle registration numbers
- Real-time GPS locations
- Historical location data
- Driver names & assignments
- Trip routes, origins, destinations
- Registration Certificates (RC)
- Insurance certificates
- Vehicle permits
- Other compliance documents
- Stored on Cloudflare R2
- Login timestamps
- IP addresses
- Browser & device type
- Pages visited & actions taken
- API request logs
We do not collect any payment card details directly — all payment processing is handled by Razorpay. We do not collect biometric data, Aadhaar numbers, or other government-issued identifiers beyond what you voluntarily upload as a vehicle document.
How We Use Your Data
We use the information we collect for the following purposes:
- Service Delivery — To provide fleet tracking, trip management, document storage, and all other platform features you have subscribed to
- Notifications — To send WhatsApp messages and in-app alerts for trip events, geofence breaches, document expiry reminders, and other operational alerts you configure
- Analytics & Reporting — To generate turnaround time reports, utilization analytics, and other performance metrics visible within your account dashboard
- Account Management — To manage your subscription, process billing, and communicate with you about your account
- Service Improvement — To understand how the platform is used in aggregate and to improve features, performance, and reliability. We do not use individual customer fleet data for product development without explicit consent
- Security & Compliance — To detect and prevent fraud, abuse, and unauthorized access; to comply with applicable legal obligations
We will not use your data for advertising, profiling for marketing purposes, or sale to third parties.
Data Storage & Security
We take reasonable and appropriate measures to protect your data. Here is how your data is stored:
- Database — All structured application data (accounts, trips, vehicles, logs) is stored in a PostgreSQL database hosted on Railway (EU/US server regions)
- File Storage — Vehicle documents and uploaded files are stored on Cloudflare R2 (Asia Pacific region) with private access controls
- Encryption in Transit — All data transmitted between your browser and our servers is encrypted using HTTPS/TLS. API communications with third-party providers are also encrypted
- Tenant Isolation — All data in the platform is scoped to your organization (tenant). It is technically impossible for another customer to access your data through normal platform use
- Access Controls — Administrative access to our production systems is restricted to authorized personnel only, with access logged and audited
Third-Party Services
Traxium integrates with the following third-party services. Each provider has their own privacy policy and data handling practices:
We share only the minimum data necessary with each provider to deliver the relevant feature. We do not sell or transfer your data to any other third parties.
Data Sharing
We may share your data only in the following limited circumstances:
- Third-Party Integrations — As described in Section 5, solely to provide the Service
- Legal Obligations — If required to do so by applicable law, court order, or a government authority with legitimate jurisdiction
- Business Transfer — In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will provide notice before your data is transferred and becomes subject to a different privacy policy
- Consent — When you have explicitly provided consent for a specific sharing purpose
We do not share individual customer data across organization accounts. Each tenant's data remains strictly isolated.
Data Retention
We retain your data for as long as your account is active and for a limited period after account closure:
- Active Accounts — All data is retained for the duration of your active subscription. You may access, export, or delete individual records at any time through the platform
- After Cancellation — Following account cancellation or termination, your data is retained for a period of 30 days to allow you to request a data export. After this retention period, all Customer Data — including vehicle records, trip history, documents, driver data, and account information — is permanently and irrecoverably deleted from our systems and backups
- Usage Logs — System logs (IP addresses, API logs) may be retained for up to 90 days for security and operational purposes, then purged
- Billing Records — Financial transaction records may be retained for up to 7 years as required by Indian tax and accounting regulations
Your Rights
As a Traxium user, you have the following rights over your data:
To exercise any of these rights, contact us at hello@xservlabs.com. We will respond to all requests within 30 days. Some requests (such as deletion of billing records) may be subject to legal retention requirements.
Cookies
Traxium uses a minimal cookie policy designed to respect your privacy:
- Session Cookies Only — We use session-based cookies solely to maintain your authenticated login session. These are essential for the platform to function and are deleted when you close your browser or log out
- No Tracking Cookies — We do not use cookies to track your behavior across other websites or for advertising purposes
- No Third-Party Analytics — We do not use Google Analytics, Facebook Pixel, or any other third-party analytics tracking scripts on the Traxium platform
Children's Privacy
Traxium is a business-to-business (B2B) fleet management service intended exclusively for use by companies and business professionals. The Service is not directed at, and we do not knowingly collect personal information from, individuals under the age of 18.
If you believe that a person under 18 has provided us with personal information, please contact us at hello@xservlabs.com and we will take prompt steps to delete such information.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:
- Provide at least 30 days advance notice via email to the registered account administrator before the updated policy takes effect
- Display a prominent notice within the Traxium platform during the notice period
- Update the "Last Updated" date at the top of this page
Your continued use of the Service after the effective date of the revised policy constitutes acceptance of the changes. We encourage you to review this policy periodically.
